esw GROUP - AI-supported ticketing for technical faults

Initial situation:

In the esw GROUP ‘s maintenance department, fault and repair information was available but difficult to use: documentation and classification were carried out using an Excel file with macros, among other things. At the same time, the knowledge of experienced employees became a bottleneck; new colleagues in particular had difficulties describing faults precisely and requesting the right specialist teams to rectify them. The database was available (the case study mentions “18,000 data records alone to date” for previous incidents), but was not structured in such a way that it would provide reliable support in day-to-day operations.

Measures:

As part of the BMWK-funded “Service-Meister” research project, esw GROUP and inovex developed a cloud-native application that systematizes access to fault and repair data. The solution supports the correct classification of faults, facilitates precise description and suggests possible solutions based on historical data.

Technically, the application uses ML-supported classification; tickets are also vectorized in order to identify frequent and similar problem cases and make it possible to find suitable reference cases. Models were deliberately chosen pragmatically; for more complex scenarios, larger models are also mentioned as an option in the future.

Result:

The project has resulted in an executable, AI-supported ticket system that is designed to speed up troubleshooting and improve collaboration between machine operation and maintenance. The case study emphasizes that the solution makes employees’ experience usable, increases data quality and supports the scheduling of plant operators and maintenance staff more efficiently. The application is being tested in the field; according to the case study, use in live operation is foreseeable.

E/D/E - Automation + Document Understanding in Finance & Operational Document Processes

Initial situation:

As a purchasing and service group with many members, partners and transactions, E/D/E is operationally complex and sometimes works with legacy systems. In the finance department, there was a particularly typical “back office pain”: the validation of sales tax ID data (VAT) was a manual monthly process: export SAP report, generate Excel, add customer data, then external validation by a tax/accounting service provider.

According to the case study, this took six hours a month and cost €500 in fees. At the same time, other processes showed that scaling fails due to document diversity and manual checking, for example in credit/debtor checks and in document-heavy processes where incoming documents are available in many variants.

Measures:

E/D/E started with a focused quick win and worked closely with IT and an implementation partner (Office Samurai). The VAT process was automated: The robot pulls data from SAP, adds information and compares it against available German and EU tax databases via public registers using a script. For larger checks (in the case study: a customer with 20,000 debtors), an automation system was set up that downloads the required information from credit reports and processes the check automatically.

In order to make document processes more robust, E/D/E also relied on document understanding so that automations can extract and process relevant information from differently structured documents; a consistent training/labeling approach is explicitly mentioned as a success factor in the case.

Result:

According to the case study, the VAT process was reduced from six hours to 50 minutes per month and saved additional fees. The automated check in the debtor/credit rating context made a project possible that would have taken “six months” manually and thus helped to avoid losing an important contract. According to the case study, E/D/E operates two software robots for a total of 25 automated processes; each automation therefore pays for itself within a year. Remarkable for SMEs: the initiative was not supported by a large internal Center of Excellence, but was gradually expanded with a small core team plus partner implementation.
